Every business regardless of it’s size needs to own an accounting software. Just like different businesses have different needs, we run through the factors that every business owner should take into consideration before they purchase their very own accounting software.
There are a few basic equipments that you need when running a small business, and that includes having a decent piece of software to help you run your accounts on. Accounting software is mandatory as it would be logistically inconvenient to write down and calculate your financial data on a piece of paper, not to mention that good accounting software installed in a decent computer would also process faster and is much more accurate than manual calculation.
While it would be second nature to simply purchase the cheapest accounting software you can find or simply settle down with the accounting software that gives you the bare minimum requirements needed to keep track of your business cash flow, you should keep in mind that keeping accounts is a system that is constantly updated.
The last thing you would want to do is to figure out six months down the road that the accounting software you are currently using is simply incompatible with your business. Moving your data from one accounting software to another is expensive, time consuming and could involve plenty of key-in errors, which is why that it is best preferred to start using the most suitable accounting software you can find from the initial stages of your business. A good software that meets all of the following features is the UBS Accounting software (refer to www.ubs-softwares.com for more details).
Factor One: Suitable Features
Does your business require unique data reports? If so, stay away from the standard out-of-the-box accounting software and instead, look for accounting software that features customizable report options. If you are running a service-based business, your accounting software should include time and billing modules as you will also charge your clients for your time.
Factor Two: Is it User Friendly?
Like every other software, accounting software should not be difficult to learn. Can you intuitively figure out how to print, save and edit the data? A good accounting software such as the UBS Accounting Software comes with a setup wizard to help first time users learn how to move around the program with ease.
It is also important that your software is compatible with other popular software. For example, the UBS Accounting Software allows users to work directly on Microsoft Excel®, making data integration a quick and simple affair. Modern accounting software should also come with net connectivity to make it easier to update and search for help on-line.
Factor Three: Customer Support
Most accounting software are sold along with several hours of user training. Do check to see if the software company provides support (via the telephone or e-mail) for future questions you may have even after the training period is over. After all, practical work is never the same as theoretical classroom exercises.
Factor Four: Software Scalability
This factor can be disregarded if you prefer to run a one-man business operation. However, if you foresee yourself expanding the company in the long term, you need to check and see if the software supports network connections. Can multiple users be logged onto the accounting software simultaneously? Be wary of the pricing as some software allows multiple users to be on-line simply by buying one package with a certain number of licenses. On the other hand, other software companies prefer that you buy multiple quantities of the software which is also that much more expensive.
Hands down, there is no argument that every business needs to be complimented with accounting software. The problem is that there are plenty of accounting software floating around the market right now- do you know which one is suitable for your business?
